Overview:
PHRS, a luxury resort renowned for delivering world-class experiences, is seeking a personable and detail-oriented Front Desk Associate to join our team. As the first point of contact for our guests, the ideal candidate will embody the resort’s commitment to exceptional service, ensuring every guest feels welcomed and valued from the moment they arrive. This role requires strong communication skills, a keen attention to detail, and a genuine passion for hospitality.
Key Responsibilities:
- Guest Check-In/Check-Out: Greet all guests warmly and professionally, managing the check-in and check-out process efficiently while ensuring accuracy in billing and reservations.
- Customer Service Excellence: Provide personalized service to all guests, addressing inquiries, resolving issues, and anticipating needs to ensure an unforgettable experience.
- Reservations Management: Handle room bookings, modifications, and cancellations, ensuring all information is entered correctly into the property management system and that special requests are noted.
- Communication: Serve as the main point of contact between guests and various resort departments (housekeeping, maintenance, spa, etc.), ensuring prompt and effective communication to meet guest needs.
- Concierge Services: Provide information and recommendations on local attractions, dining options, activities, and resort services. Assist in booking reservations, activities, and transportation as needed.
- Administrative Duties: Manage daily front desk operations, including handling phone calls, emails, and guest inquiries. Maintain an organized work environment and ensure all front desk materials are updated and available.
- Attention to Detail: Ensure all guest information is accurately recorded and kept confidential. Review daily reports to ensure room assignments, billing, and special requests are correctly managed.
- Problem Solving: Address and resolve guest concerns or complaints promptly and professionally. Escalate issues to management when necessary, always striving to achieve a positive outcome.
- Team Collaboration: Work closely with housekeeping, maintenance, and other departments to ensure seamless communication and coordination of guest services.
Qualifications:
- Previous experience in a front desk or customer service role, preferably in a luxury resort or hotel setting.
- Exceptional communication skills, both verbal and written, with a warm and professional demeanor.
- Strong attention to detail and organizational skills, with the ability to manage multiple tasks simultaneously.
- Personable and approachable, with a genuine passion for providing outstanding customer service.
- Ability to stay calm under pressure and resolve issues efficiently and courteously.
- Proficiency in using property management systems and Microsoft Office Suite; knowledge of Square and/or Resnexus is a plus.
- Ability to work a flexible schedule, including evenings, weekends, and holidays, as required.
- High school diploma or equivalent required; additional education in hospitality management is a plus.
